All of the NBAA Regional Forum Exhibitor forms are available in PDF format.
You'll need Adobe Acrobat Reader, a free program, to open and print these files.
PDF is an acronym for "Portable Document Format." PDF enables NBAA
to deliver files to you over the Web. These forms look identical to ones you
may receive in the mail or via fax. See below for help with
downloading.
Application for Space
The fee for each 10' x 10' exhibitor booth is $1,925. The fee for each 10' x 10' of Static Display space is $55. An aircraft on Static Display may occupy several 10' x 10' spaces. For example, an aircraft with a wingspan of 54' and a length of 57' requires a 60' x 60' space, or 36 10' x 10' spaces. If the exhibiting company is not an NBAA Member, please add NBAA dues of $350.

Types of Exhibits
Exhibits at the Forum are limited to those products or services relevant to business aviation. NBAA reserves the right to deny space to any company whose products or services are not relevant to business aviation.

Static Exhibitor Information
The fee for your Static Space is calculated based on 10' x 10' increments. For example, an aircraft with a wingspan of 54' and a length of 57' requires a 60' x 60' space, or 36 10' x 10' spaces. All aircraft on Static Display are required to arrive by noon the day preceding the event, or risk overtime charges at the prevailing labor rate. Aircraft may depart at 5 p.m. the day of the show. For aircraft, there is a minimum space fee of $800. (For non-aircraft Static Exhibitors, the space fee is $1,925, equal to that of an indoor exhibitor.) Ground power units, air-conditioning units and tents will be provided by AEM International, who will bill you directly for these services. Please contact Ulrich Koch at ukoch@aeminternational.com if you plan to utilize any of these for your aircraft/exhibit.

Indoor Exhibitor Information
Indoor exhibit booths are 10' x 10' each and exhibitors
may purchase more than one unit. Each 10' x 10' booth fee includes one 6' draped
table, two chairs, a waste basket and exhibitor identification sign.
Electrical connections and carpet can be ordered from Freeman. The cost of
these items is not included in the price for exhibiting.

Exhibitor Placement
Placement of exhibits will be determined by NBAA, though generally in the
order received. Exhibitors will not be placed or confirmed until payment is
received. All payments for booth and static space must be received by June
17, 2005.

Exhibitor Badges
Badges for Exhibitor employees and guests: Exgenex, NBAA’s registration company, will be sending via email a user name, password and a link to submit badge requests. Each exhibiting company receives five badges per 10’x 10’ booth space purchased. Each static exhibitor receives one badge per 10’x10’ space purchased, up to a maximum of 40. Exhibitors may use an allotment for company personnel or for guests.
Additional badges are $25 each. In an effort to make registration easier, please register your company’s badges with our online registration site. All badges will be mailed USPS to the Exhibit Manager by June 27. Badge requests received after the shipment will be available for pick up onsite.
Forum attendees (who are NOT exhibiting personnel) register under a different set of criteria entirely. The registration fee for NBAA Members is $50; $60 otherwise. They can also register online. Advise potential delegates to register here.

Rules & Regulations
All display material and demonstrations must be confined to the limits of the Exhibitor's purchased display space, both indoors and outdoors. NBAA reserves the right to restrict Exhibits that because of noise, method of operations, or any other reason, become objectionable. No Exhibitor will assign, sublet, or share the whole or any part of Exhibit Space purchased without the knowledge and consent of NBAA. Failure to advise NBAA of shared Exhibit Space in advance may result in an additional exhibiting charge. Any person who attends an NBAA conference, seminar, forum, or other program grants permission to NBAA to use and publish his image or likeness collected in connection with the program for any usual and customary purpose of the NBAA, including advertisements for NBAA and its programs. Special Invitations
Invitations for customers: Many exhibitors send letters or other direct mail pieces in advance to their customers announcing their presence at the Forum. There is sometimes confusion at the registration desk regarding who then pays for this registration. Please observe the following:
- If you wish to announce your presence, but do not wish to pay for those who receive your announcement, please indicate on your correspondence that the cost to attend the Forum is $60 ($50 for NBAA members).
- If you wish to invite guests and pay for their attendance (the guest fee is $25 each), please indicate on your letter/direct mail piece that “Your registration is compliments of XYZ Company.” We will collect them at registration and bill you – at $25 each – for the sum total beyond your 5 or 40 allotment. This will make it less of a hassle for your VIP guests.
